With employees returning to the office in the wake of the COVID-19 pandemic, your business may be considering employee ID cards for the first time. ID cards improve security, identification, and access, so returning and new staff can move through your premises freely and safely.

Before you bulk buy ID cards for your staff, you need to decide what to include. And while there are no hard-and-fast rules on what to include on employee IDs, some information can help improve the security and usability of your company cards.

The first thing to tick off your checklist is basic information about individual employees. This includes things like their name, job title, department, and their employee ID number. You may also want to go further, adding information such as an employee’s security clearance level, their DBS status, or a unique identifying barcode or QR code that can be used for access and security purposes. 

Most of the information outlined above should appear on the front of your employee ID cards, alongside a photo ID and some graphic insignia that best represents your business or organisation. We’d also recommend adding a watermark or holographic emblem to improve authenticity and make the IDs difficult to forge.

The rear of your employee ID cards is where you can add supplementary details about your organisation, including things like your address and contact info, as well as a lost card disclaimer. It may also be worth adding a line or two on how to use the card, with guidance on what access provision the card entitles the holder to.”
