Outpatient appointments are now a lot easier to arrange thanks to the introduction of a new booking system across Hywel Dda.
The health board has adopted a direct booking process, where patients are sent a letter with a confirmed date and time for their clinic appointment and have two weeks to rearrange if it isn’t convenient. If no contact is received from the patient within the two week period, the health board will assume that the appointment has been accepted. Patients are reminded that if you fail to attend an appointment, the consultant may decide to remove you from the waiting list.
The system differs from the current, outdated ‘partial booking’ process, which can involve as many as six different letters being sent to patients arranging an outpatient appointment and can take up to four weeks from the date an appointment letter is sent out. The new approach – part of our commitment to driving quality improvements across the health board – will instantly shorten this timeframe by half and ensure that outpatient clinics are fully utilised by patients. The measures also have the potential to save the health board over £250,000 a year in unnecessary follow-up letters and free up staff to carry out other duties.
Joe Teape, Director of Operations and Deputy Chief Executive, said: “By introducing direct bookings we are bringing Hywel Dda in line with the way in which a number of NHS health boards and Trusts across the UK are already managing outpatient appointments. This will also help our front line staff by ensuring patients make full use of clinic appointments.
“The health board is committed to driving up quality and patient experience and we know that there is still a lot of work to be done, however this new measure should bring welcome improvements both for patients and staff and help us to work as efficiently and effectively as possible.”

Mae’r Bwrdd Iechyd wedi mabwysiadu proses archebu uniongyrchol, lle mae cleifion yn derbyn llythyr yn cadarnhau dyddiad ac amser eu hapwyntiad clinig, a bydd ganddynt bythefnos i’w aildrefnu os na fydd yn gyfleus.
Os na fydd y claf yn cysylltu yn ystod y cyfnod o bythefnos, bydd y Bwrdd Iechyd yn tybio ei fod yn derbyn yr apwyntiad. Atgoffir cleifion, os na fyddwch yn mynychu apwyntiad, efallai y bydd yr ymgynghorydd yn penderfynu eich tynnu oddi ar y rhestr aros.
Mae’r system yn gwahaniaethu oddi wrth y broses ‘archebu rhannol’ gyfredol sydd wedi dyddio, a all gynnwys anfon cymaint â chwe llythyr gwahanol at gleifion i drefnu apwyntiad cleifion allanol, yn ogystal â chymryd hyd at bedair wythnos o’r dyddiad yr anfonir y llythyr apwyntiad. Bydd y dull newydd – sy’n rhan o’n hymrwymiad i lywio gwelliannau o ansawdd ledled y Bwrdd Iechyd – yn haneru’r amserlen hon ar unwaith ac yn sicrhau y gwneir defnydd llawn o glinigau cleifion allanol gan gleifion. Mae gan y mesurau hefyd y potensial i arbed dros £250,000 y flwyddyn i’r Bwrdd Iechyd mewn perthynas â llythyrau dilynol diangen a rhyddhau staff i gyflawni dyletswyddau eraill.
Dywedodd Joe Teape, Cyfarwyddwr Gweithrediadau a’r Dirprwy Brif Weithredwr: “Trwy gyflwyno system archebu uniongyrchol, rydym yn sicrhau bod Hywel Dda yn cysoni â’r hyn y mae nifer o fyrddau iechyd ac ymddiriedolaethau’r GIG ledled y Deyrnas Unedig eisoes yn ei wneud i reoli apwyntiadau cleifion allanol, gan ofyn hefyd i gleifion helpu ein staff rheng flaen trwy sicrhau eu bod yn gwneud defnydd llawn o apwyntiadau clinig.
“Mae’r Bwrdd Iechyd yn ymrwymedig i wella ansawdd a phrofiad cleifion, ac rydym yn gwybod bod llawer o waith i’w wneud o hyd; fodd bynnag, dylai’r mesur newydd hwn gyflwyno gwelliannau i’w croesawu, a hynny ar gyfer cleifion a staff, fel ei gilydd, yn ogystal â’n helpu i weithio mewn modd sydd mor effeithlon ac effeithiol â phosibl.”
